When you submit a reservation form, we collect:

• Full name, email address, and phone number
• Where you live and your swim school name (if any)
• Number of employees at your swim school
• Instagram and Facebook URLs (if you provide them)
• Pass type, shirt size, and prior-retreat status
• SSU Community membership status and discount code
• Dietary notes and accessibility needs
• Any free-form message you choose to share

2. How we use your information

• To process your retreat reservation and follow up with venue, payment, and travel details
• To send you a confirmation email and (if you provide a phone number) a confirmation SMS
• To prepare retreat logistics including meals, accommodations, and swag
• To occasionally email you about future retreats or community announcements (you may opt out at any time)

3. SMS / text messaging

By providing your phone number on our reservation form, you consent to receive transactional SMS messages from us related to your retreat registration (confirmation, venue updates, payment reminders).

• Message frequency: typically one confirmation message per registration, plus occasional logistics updates leading up to the retreat.
• Message and data rates may apply depending on your wireless carrier.
• Opt-out: reply STOP to any message at any time to unsubscribe. Reply HELP for assistance, or contact us at superheroswim@gmail.com.
• We will never share or sell your phone number or SMS opt-in data to third parties for their marketing purposes.

4. How we share your information

We share information only with trusted service providers we use to operate our business:

• Resend (transactional email delivery)
• Twilio (transactional SMS delivery)
• MongoDB Atlas (secure database hosting)
• Our retreat venue and travel partners, only as needed to fulfill your reservation

We do not sell your personal information to advertisers or data brokers.

5. Data retention

We retain reservation data for as long as your account or registration is active and for a reasonable period afterward to comply with tax and legal obligations. You may request deletion of your data at any time by emailing superheroswim@gmail.com.

We use industry-standard practices to protect your information, including HTTPS encryption in transit and access-controlled hosting. No system is 100% secure, and we cannot guarantee absolute security.
